Five ways vendors charge

Two products with the same headline price can produce very different bills. What matters is what the price is charged against: people, conversations, minutes or time.

The five pricing models for AI receptionists
How it is chargedHow the bill behavesWhat to ask
Per seatYou pay for each person who uses the tool. The bill follows the size of your team, not your traffic.Does the AI count as a seat? Is there a seat limit on the plan you need?
Per resolutionYou pay each time the vendor counts a conversation as resolved by the AI. The bill follows your traffic. How does the vendor define a resolution? What happens when a visitor leaves halfway, or asks for a person?
Per minuteYou pay for the minutes of voice the assistant uses, often at a rate per minute. The bill follows how much people talk.Is there a monthly cap? What happens when you reach it?
Flat monthlyOne price a month for a stated scope. The bill stays the same until you reach a limit on the plan. What are the limits (websites, minutes, conversations), and what happens at the limit?
Credits and add-onsA base plan plus extras that are charged separately, such as an AI agent, a phone line, extra languages or an integration.Which of the features you need are in the base plan, and which are extras?

Prices we could verify on 12 Oct 2026

We read the public pages and chat assistants of the vendors below on 12 Oct 2026. Where we captured a figure, it is here with its date. Where we did not, the table says so. We quote no figure that came only from a vendor's chat bot or that we could not confirm, and no phone answering service, because we hold no price data for those.

The costs buyers find late

Put these questions to every vendor, including us, before you start a trial.

  1. Setup time. Count your own hours as well as the vendor's price. Ask how long a first working version takes. In our tests Maya's setup scan read a 17-page site in about two minutes, and you then review what she learned.
  2. Translation. Check whether every language is in the plan or each one costs extra. Maya talks with visitors in 70+ languages on every plan. Her page translation is on by default and covers 39 languages.
  3. Per-resolution fees. Ask how a resolution is defined and what a visitor who leaves counts as, then multiply by the conversations you get in a month.
  4. Phone minutes. Ask whether inbound calls are included in the plan or billed by the minute, and who pays for the phone line.
  5. Voice minutes. Ask for the monthly cap and what happens at it. Maya emails you at 80%, 90% and 95% of the plan's voice minutes, and voice pauses at the cap.
  6. Seats. Ask whether the AI counts as a seat and what a second person on your team costs.
  7. Websites. Ask whether the plan covers one site or several. Maya's Connect and Booking plans cover 1 website, and Reception has no limit.
  8. Integrations. Check which plan connects to your CRM or calendar. Maya's CRM sync is on Reception.
  9. Trial and cancelling. Check how long the trial is, whether a card is needed, and how many steps it takes to cancel.
  10. Currency and tax. Check whether the price you saw includes VAT.

How we checked

On 12 Oct 2026 we read each vendor's own website and, where it runs one, typed up to three messages to its assistant. We did not sign up or buy anything. We quote a figure only when it was on the vendor's own page. Vendors change their prices, so check each vendor's own page before you decide.

Questions people ask

How much does an AI receptionist cost?

It depends on how the vendor charges, and prices vary a lot. Among the vendors we checked on 12 Oct 2026, Tidio's site showed a free plan and paid plans from $29/mo, with its AI agent priced separately. Others gave no figure on their page or in their chat. Maya is €299, €499 or €899 a month plus VAT. We hold no price data for phone answering services, so this guide quotes none.

How much does Maya cost?

Connect is €299 a month, Booking €499 and Reception €899, each plus VAT. 7-day trial, card needed, cancel in one click. Each plan is a flat monthly price, with no fee per conversation or per resolution.

Is per-resolution pricing cheaper than a flat plan?

It depends on your volume. A per-resolution bill grows with the number of conversations, so it can be low in a quiet month and high in a busy one. A flat plan stays the same until you reach a limit. Work out your own monthly conversations and ask each vendor for the total at that number.

Do AI receptionists charge per minute?

Some voice products do. Vapi's site includes a per-minute cost calculator (checked 12 Oct 2026). Maya's plans include a number of voice minutes a month, 500 on Connect, 1,000 on Booking and 2,000 on Reception, and voice pauses when the cap is reached.

Is there a free AI receptionist?

Some chat products have a free plan. Tidio's site said "Free plan forever" (checked 12 Oct 2026), and Jotform's said "Create your AI agent - it's free" (checked 12 Oct 2026). Maya has no free plan. She has a 7-day trial that needs a card.
